Application for Additional Computer Laboratory Hours

An application showing why one period a week is not enough, with rules offered in advance.

How to write it

• Say how much access exists now and why it is not enough. A request for more time must first establish what the present allocation is.
• Name the work that cannot be done in the time available — a practical syllabus, an examination requirement, a project.
• Propose specific hours and a supervision arrangement, since a laboratory cannot be opened without someone responsible.
• Offer rules you will accept — a register, small groups, no software installation — to answer the objection before it is made.

Subject: Application for additional hours in the computer laboratory.

Sir

With due respect, we the students of the second year, ICT group, beg to state that the computer laboratory is at present open to us for one period a week. With forty-two students and eighteen working computers, each of us gets roughly twenty minutes at a machine in that period, which is not enough to complete the practical work our syllabus requires.

The database and spreadsheet practicals in particular cannot be finished in twenty minutes, and several students have been unable to complete the exercises that will be assessed in the practical examination. We therefore request that the laboratory be opened for two additional hours on Saturday mornings, from nine to eleven, under the supervision of the laboratory assistant. We are willing to attend in two groups of twenty, to sign a register on entry and exit, and to undertake that no software will be installed or settings changed. Three students of our group have volunteered to remain until the laboratory is closed and locked.

We, therefore, pray and hope that you would be kind enough to grant us additional hours in the computer laboratory and oblige thereby.
