An administrative assistant resume example covering calendar, travel, expense and vendor scope, with current BLS pay and demand figures and an honest read on how automation is reshaping the role.

Administrative Assistant Resume Examples

The gap between a weak and a strong administrative assistant resume is scope. Weak ones list office tasks anyone could name; strong ones show how much of a department actually runs through the person — how many people supported, what budget touched, which systems owned, what got fixed.

This matters more than it used to, because BLS projects the occupation to decline as scheduling, transcription and routine correspondence automate. The roles that remain are the ones with real ownership, and those are the ones worth writing toward.

What the job actually involves

Hiring managers read a resume against the work, so it helps to be precise about what the work is. These are the task statements the US Department of Labor publishes for this occupation.

Read them as a checklist. Anything on this list you have genuinely done belongs on your resume in the language a recruiter already recognises, and anything you have not done should be left off rather than softened into something that sounds close.

  • Create, maintain, and enter information into databases.
  • Set up and manage paper or electronic filing systems, recording information, updating paperwork.
  • Operate electronic mail systems and coordinate the flow of information.
  • Answer telephones and give information to callers, take messages, or transfer calls to appropriate individuals.
  • Use computers for various applications, such as database management or word processing.
  • Greet visitors or callers and handle their inquiries or direct them to the appropriate persons.
  • Operate office equipment, such as fax machines, copiers, or phone systems.

What makes a strong administrative assistant resume

Quantify who and what you support. "Supported a 40-person department and three directors" is scope; "provided administrative support" is not. Add budget or spend where you touched it, because that is the fastest signal of trust.

Show Excel depth honestly. Almost every applicant lists Excel, so the differentiator is what you actually do with it — pivot tables, lookups, a reporting workbook you built and others use. Name the artefact rather than the tool.

Write about process improvements. Automating a report, rebuilding a filing system, cutting a booking cycle — administrative work is full of these, and they are the strongest evidence you do more than execute tasks handed to you.

Name the systems by product. Concur, SAP, Workday, SharePoint, Google Workspace and the rest are switching costs, and this is the most reliable keyword screen for the role.

Adapting this administrative assistant example

Almost every administrative assistant resume describes the same duties, so this example is built around the two things that vary: how much you support and how much you control. "A 40-person department and three directors" sizes the role instantly, and "$180k in annual departmental spend" converts calendar-and-inbox work into something with a budget attached. Those two figures do more than a page of duty statements.

The expense-workflow bullet is the model to copy, because it turns a process into a result: turnaround from ten days to four, achieved by rebuilding the submission workflow and training the department. Administrative work is full of improvements like this that nobody writes down. If you have ever fixed a process that was annoying everyone, that is the strongest thing you can put on this page.

Excel is listed as a named certification rather than a bullet point in a skills list, and the reporting workbook demonstrates it in use. This matters because "proficient in Microsoft Office" is on every competing resume and means nothing; an Excel Expert certification plus a workbook two other departments adopted is a checkable claim. The Notary line is a smaller version of the same idea — inexpensive, verifiable, and occasionally the reason one candidate is more useful than another.

One deliberate omission is worth explaining, because it decides which jobs this resume wins. It does not describe supporting a named executive, and that is the honest line between this role and an executive assistant: administrative assistants support a department or a function, executive assistants support a person and exercise judgement on their behalf. Applying for EA roles with departmental-support evidence is one of the most common mismatches in this field, and it is usually spotted in the first ten seconds. If you are aiming at EA work, the things to build and then put on the page are the ones that appear on the executive assistant example — inbox triage with delegated authority, board or governance support, and complex international travel — rather than a longer list of the coordination duties you already do well.

Every detail in the document above is invented. Never send an example with placeholder facts left in it.

Keywords an applicant tracking system will look for

Most employers of administrative assistants screen applications through software before a person reads them. The scan is looking for the vocabulary of the job, so the terms below are worth using where they are true of you — and worth leaving out where they are not, because the human read that follows will catch the difference.

  • administrative assistant · calendar management · travel booking · expense reports · Concur · meeting coordination · minute taking · document preparation · Microsoft Excel · pivot tables · mail merge · PowerPoint · SharePoint · database management · records management · vendor coordination · purchase orders · invoice processing · onboarding support · event coordination · confidential handling · process improvement · Google Workspace · Zoom · department support

Systems and software worth naming if you have used them: Microsoft Office, Microsoft Outlook, Microsoft Excel, Microsoft PowerPoint.

Certification, licensing and what employers verify

No credential is required, which makes the optional ones unusually effective. Microsoft Office Specialist — particularly Excel Expert — is verifiable, inexpensive and directly relevant, and it converts a claim every applicant makes into one that is checkable.

IAAP's Certified Administrative Professional is the recognised professional credential and carries weight in larger organisations and for senior roles, though it requires documented experience as well as an exam.

Small extras open doors disproportionately: notary commission, purchasing or procurement basics, and any HR or payroll systems exposure. Each one is a task a department would otherwise have to route elsewhere.

Mistakes that cost administrative assistants interviews

  • Listing generic office duties with no indication of the size of what you support.
  • Claiming Excel without naming what you built with it, when every applicant claims it.
  • Omitting process improvements, which is the clearest evidence of ownership over execution.
  • Leaving out named systems, the most common keyword screen for this role.
  • Ignoring budget or spend responsibility, the fastest available trust signal.

Where this role leads next

BLS projects decline through 2034 with around 202,800 openings a year across 1.7 million assistants — high turnover in a shrinking occupation. Routine scheduling, transcription and correspondence are exactly what automation absorbs first, so the strategic question is which parts of the job it does not touch.

Those parts are judgement, relationships and ownership, which point at executive assistant (a substantially higher median), office or operations manager, and specialist routes into HR, finance or project coordination. All are reachable from this role, and all reward the process-improvement and systems evidence above rather than years served.
